    What do I need to do when I set up a business?

    It’s a common question – who do you need to tell/register with to set up a business? This Gov.UK page has the basics of setting up the things you need, but, it won’t surprise you to hear that one of the first people you should tell is the taxman.

    HMRC has set up an online ‘e-learning course’ to help you with questions you might have about tax and national insurance, or how to start and keep the correct business records. It’s useful if you’re just setting up and helps you start with good business habits. Or see its list of business tax webinars, videos and other resources to help once you’re up and running.

    Once you’re registered, you’ll need to find a business bank account. Unlike personal bank accounts, which are usually fees-free if you’re in-credit, the opposite’s true for their business brothers. Charges of Ј25 per transaction are possible on top of monthly account fees, and this can be a nightmare. There are four steps towards beating these.

    Step 1: Use a personal account if you can

    If you are a sole trader (not a limited company), then you may be able to use your normal bank account for your business, with all the better terms that involves (though check your terms & conditions – some banks won’t allow this).

    However, using a separate, dedicated account could make your record-keeping a lot easier. It could also be a huge help if HMRC selects your tax return for an in-depth inquiry. For all the best buys, see the Top Bank Accounts guide.

    If you make a large number of transactions, deal with big sums, or need to regularly bank cash, then your bank may suggest getting a business account. If that’s likely, start with the right one straight away.

  • Step 2: Lowest charge business bank accounts

    Three accounts stand out, based on charges:

    The Santander* Start Up Business Account offers unlimited free day-to-day transactions for a year – or 18 months if you’re already a Santander customer. It also pays 0.25% in-credit interest. After the end of the free period, you can choose from four different fees between Ј7.50 and Ј40/mth depending on monthly cash deposit withdrawal limits (you can choose from Ј1,000 to Ј10,000).

    NatWest’s Start-ups package has18 months of free unlimited transaction banking. After that, you revert to their standard tariff, at which point you pay per transaction. You can open the account if you started trading within the last 12 months, and the company’s turnover is less than Ј1 million. Apply online, or call 0345 413 5020.

    TSB also offers 18 months free banking if you’re a start up. The free banking includes paying in & taking out cash, paying in or issuing cheques, plus paying standing orders & direct debits. Services like CHAPS transfers will be charged for.

    These are effectively just like consumer bank accounts and have limited features. So if you need complex facilities, such as an account that automatically works with accounting software or need business assistance, you can get these from banks, but at a price.

    Even if you can’t find one with the services you like at a low charge, don’t give up with business bank accounts. It’s often possible to negotiate with your bank to waive the charges, so long as you stay within set transaction constraints, for example, a maximum of 10 requests to process business cheques each month.

    Step 3: Minimise the charges you pay

    Whatever the account, make your first job listing the fees that apply to it. Ensure you (and any staff) are aware of them.

    Think about how you operate to minimise charges. Make sure you’re paid by BACS rather than cheque, stick to online banking, cut down on the cash you pay into the account, use automated transactions where possible and avoid using unauthorised overdrafts.

    Make sure you check the charges in your statement, it may also help you spot problems. For example, if you accept a cheque that’s been returned unpaid by the debtor’s bank, your bank will charge you an administration cost, and you won’t get the money due. So then you can chase the payment up, and ask them to pay the incurred charges too.

    Step 4: Sweep cash into savings

    If you’re in the fortunate position to build cash up in your account, be sure to have a business savings account linked to it. Then you can sweep the money into it to maximise interest (see below).

    Starting a business can come with headaches and unexpected expenses, but if you have a free business checking account, monthly bank fees are something you won’t have to worry about.

    Free business accounts usually don’t earn interest, and there may be charges for some actions, such as transactions over a bank s limit. But the best accounts don’t have minimum-balance requirements or monthly service fees.

    NerdWallet looked at the 10 largest banks in the country, along with a few big online banks, and compared their business checking accounts. Here are our top four free accounts.

    Best Free Business Checking Accounts

    U.S. Bank Silver Business

      Allows 150 transactions a month for free. Has 3,000 bank branches in addition to online banking.

    Capital One Spark Business

      Online banking with no monthly limit on transactions.

    Wells Fargo Business Choice

      Make 10 debit transactions a month and the $14 monthly fee is waived. Offers a total of 200 free monthly transactions and no charge for the first $7,500 in cash deposits each month.

    Bank of Internet Federal Bank Basic Business

      Online-only bank that offers 200 free transactions a month and unlimited fee reimbursement for ATMs in the U.S.

    Learn More

    U.S. Bank’s Silver Business checking package has no monthly fee, and you can make up to 150 transactions a month at no charge. Those transactions include deposits, debit card purchases and online payments. You could use online banking to make transactions with your checking account or stop by one of more than 3,000 branches in 25 states.

    When it comes to cash deposits, U.S. Bank allows 25 free units per month. A unit is a cash deposit divided by 100, then rounded to a whole number. So if you deposit $175 cash in one transaction, that s two units — 1.75 rounded up to two.

    After you reach the 25-unit limit, there’s a small charge for additional cash deposits. Fees vary by state, but the charge is 17 cents for every additional $100 deposited in Minnesota, where the company is headquartered, as well as in some other states, including California and Georgia.

    If you have more than 150 transactions a month, there’s also a fee of 50 cents for each item over the cap. A freelance graphic designer probably won’t have to worry about reaching this limit. But a sandwich shop owner may have well over 200 transactions a month and owe fees.

    Capital One Spark Business

    Capital One’s online Spark Business accounts have no monthly fees and no minimum deposit requirements. Not only that, the accounts also offer unlimited checking transactions each month, including deposits, withdrawals and transfers. Other banks usually limit free transactions to around 100 or 200 a month.

    To make check deposits, you can snap a picture of a check and upload it to your account or make a deposit at a Capital One ATM that accepts checks. For withdrawals, you can tap one of the 40,000 fee-free Allpoint or Capital One ATMs across the country.

    But Spark Business checking may not be a good option if your business needs to deposit cash or if you prefer face-to-face service. Branches don t provide support for Spark Business accounts, and only Capital One ATMs, which are in just a handful of states, accept cash deposits.

    Wells Fargo Business Choice

    Technically, Wells Fargo’s Business Choice Checking account charges a $14 monthly fee. But it’s so easy to get the fee waived — just make at least 10 debit card purchases a month or meet other qualifications — that this megabank earned a spot on NerdWallet s list.

    The first 200 transactions each month are free. After that, there’s a charge of 50 cents per item. And Business Choice Checking is good for businesses that handle cash, because you can make cash deposits up to $7,500 a month at no extra charge. That’s nearly twice the amount other big banks allow. After that, there’s a charge of 30 cents for every additional $100 in cash deposits.

    Other ways to avoid the monthly service fee:

    • Keep a $7,500 balance in your Business Choice Checking account.
    • Maintain a combined balance of $10,000 across multiple Wells Fargo accounts.
    • Sign up for select Wells Fargo business services.

    Wells Fargo also offers Simple Business Checking, which has a $10 monthly fee, waived with a $500 average balance. You receive fewer free transactions and lower cash deposit limits, but there’s no requirement to make a certain number of debit purchases to get the monthly fee waived.

    This online bank is best for entrepreneurs who prefer to do all their banking electronically, since there are no bank branches to visit.     Starting a business can come with headaches and unexpected expenses, but if you have a free business checking account, monthly bank fees are something you won’t have to worry about.

    Free business accounts usually don’t earn interest, and there may be charges for some actions, such as transactions over a bank s limit. But the best accounts don’t have minimum-balance requirements or monthly service fees.

    NerdWallet looked at the 10 largest banks in the country, along with a few big online banks, and compared their business checking accounts. Here are our top four free accounts.

    Best Free Business Checking Accounts

    U.S. Bank Silver Business

      Allows 150 transactions a month for free. Has 3,000 bank branches in addition to online banking.

    Capital One Spark Business

      Online banking with no monthly limit on transactions.

    Wells Fargo Business Choice

      Make 10 debit transactions a month and the $14 monthly fee is waived. Offers a total of 200 free monthly transactions and no charge for the first $7,500 in cash deposits each month.

    Bank of Internet Federal Bank Basic Business

      Online-only bank that offers 200 free transactions a month and unlimited fee reimbursement for ATMs in the U.S.

    U.S. Bank’s Silver Business checking package has no monthly fee, and you can make up to 150 transactions a month at no charge. Those transactions include deposits, debit card purchases and online payments. You could use online banking to make transactions with your checking account or stop by one of more than 3,000 branches in 25 states.

    When it comes to cash deposits, U.S. Bank allows 25 free units per month. A unit is a cash deposit divided by 100, then rounded to a whole number. So if you deposit $175 cash in one transaction, that s two units — 1.75 rounded up to two.

    After you reach the 25-unit limit, there’s a small charge for additional cash deposits. Fees vary by state, but the charge is 17 cents for every additional $100 deposited in Minnesota, where the company is headquartered, as well as in some other states, including California and Georgia.

    If you have more than 150 transactions a month, there’s also a fee of 50 cents for each item over the cap. A freelance graphic designer probably won’t have to worry about reaching this limit. But a sandwich shop owner may have well over 200 transactions a month and owe fees.

    Capital One Spark Business

    Capital One’s online Spark Business accounts have no monthly fees and no minimum deposit requirements. Not only that, the accounts also offer unlimited checking transactions each month, including deposits, withdrawals and transfers. Other banks usually limit free transactions to around 100 or 200 a month.

    To make check deposits, you can snap a picture of a check and upload it to your account or make a deposit at a Capital One ATM that accepts checks. For withdrawals, you can tap one of the 40,000 fee-free Allpoint or Capital One ATMs across the country.

    But Spark Business checking may not be a good option if your business needs to deposit cash or if you prefer face-to-face service. Branches don t provide support for Spark Business accounts, and only Capital One ATMs, which are in just a handful of states, accept cash deposits.

    Wells Fargo Business Choice

    Technically, Wells Fargo’s Business Choice Checking account charges a $14 monthly fee. But it’s so easy to get the fee waived — just make at least 10 debit card purchases a month or meet other qualifications — that this megabank earned a spot on NerdWallet s list.

    The first 200 transactions each month are free. After that, there’s a charge of 50 cents per item. And Business Choice Checking is good for businesses that handle cash, because you can make cash deposits up to $7,500 a month at no extra charge. That’s nearly twice the amount other big banks allow. After that, there’s a charge of 30 cents for every additional $100 in cash deposits.

    Other ways to avoid the monthly service fee:

    • Keep a $7,500 balance in your Business Choice Checking account.
    • Maintain a combined balance of $10,000 across multiple Wells Fargo accounts.
    • Sign up for select Wells Fargo business services.

    Wells Fargo also offers Simple Business Checking, which has a $10 monthly fee, waived with a $500 average balance. You receive fewer free transactions and lower cash deposit limits, but there’s no requirement to make a certain number of debit purchases to get the monthly fee waived.

    What type of accounts should I use for ATM businesses cash flow ?

    I use the cash accrual accounting style for my ATM business. I cycle cash through my ATM’s that I have entered into my QB as owners equity originally. I am wanting to balance the checking account. When that money cycles back through to my bank account and gets electronically deposited what is it considered? Is it an “other assett” or what? Then when I withdrawl to load machines again what type of account should I use for the withdrawls, a “short term liability” account? I really need some clearity.

    You might say the cash is my reaccuring supplies.

    I think I am tracking with Mistyblue. I have the income account for the surcharge fees that users of the machine owe me. The expense account for any fees for the particular bank where my money is cycled through. But what about the ST liability account. are you saying use this account type for the electronic deposits from user’s of my machine’s back to my account and use it for my withdrawls to load back into my machine. I thought I would need a “plus” and a “minus” sort of set up with the accounts?

    This is how I have done this: I’ve set up a bank account for the ATM in qb as well a income account and I used a short term liability account. Of course a bank service charge account for the ATM.

    The short term liability account is the cycle account (withdraw and well as put back) – The income part I separate to its own income account. This way tracking income, expense, and your main cycle account. Which bottom line each rec balances. Note: I would check as well with your accountant on according to your area on sales tax requirements.
