    Creating a Winning Proposal

    Your proposal — the document that details what you propose to do for a client — is an important marketing tool, but may not be as intimidating as you imagine.

    Its objective is to outline your approach and your strategy, plus provide details about your background and experience that’s relevant to the project. But most proposals are too long and filled with too much generic material, conveying heft rather than substance. And while proposals are essential to the selling process, especially if you’re pursuing complex projects from large corporations, designers who shy away from selling tend to use the proposal to do the bulk of the selling for them. But it can’t. That’s not its purpose.

    Yes, you need a template for your proposals so you don’t have to reinvent the wheel each time you create one (keep reading and you ll find an example); but the proposal you submit should be anything but generic. Find out as much as you can from your prospect, then customize your proposal so that it reads like a document written expressly for them. Include as many details and references to conversations you’ve had as you can. Go out of your way to think through the project and let that thought process be reflected in the document. You might even include additional research you’ve done.

    Next, think about how your proposal will be used (and if you don’t know, ask). For example, if your contact isn’t the decision-maker, your proposal will probably be used to sell your services up the chain to their management. Those people won’t have spoken to you or met you. They won’t have seen your website. All they have is the proposal. So if you wonder whether to include an idea that was discussed during your conversations or additional samples you showed to your direct contact, go ahead and include them. Make sure your proposal presents the full picture of your services and makes the strongest possible argument for why you’re the best candidate for the project.

    At the same time, don’t put too much weight on the proposal itself because there’s more to the process than what’s on paper. What matters more is how well you communicate and follow through, how reliable you are, how you speak to them and how well taken care of they feel, including during the follow-up process.

    Allison Manley of Chicago-based design firm Rogue Element Inc. has generously offered to share one of her firm s winning proposals for a major web design project for a law school. (We thank her sincerely for that. No one else wanted to share.)

    Manley emphasizes that this proposal (a response to an RFP) got Rogue Element into the final three firms being considered, but it was the interview that got them the job.

    Notes on the Proposal

    1. The client specifically liked pages 11–12, where they outline their creative process via case studies. For this particular RFP, they wanted a maximum page count, so we gave abbreviated case studies, Manley says. We have since updated our RFPs a bit so our case studies are now fleshed out more comprehensively with Challenge/Solution/Results areas so we can list metrics. Plus, we added some awards we won in our bios, and a communications section that provides more info about the working process and billing procedures.
    2. The client asked for the Terms Conditions, so that s why they are included. Manley always asks whether they want them included.

    The establishment will provide a “complete, high-quality” evening experience for those searching for something that is rapidly becoming popular among Atlanta diners. Not only will patrons be able to dine on “comfort” food based upon time honored recipes from the world over, they will do so in a facility containing ample patio space for a favorite pastime of Atlanta’s residents: alfresco dining. Patrons will also have the option of enjoying coffee, desserts, and live entertainment in The Watertower’s coffeehouse or, a relaxed game of bocci in the gardens located adjacent to the patio space.

    The cafe’s aim is simple. It will provide a completely sophisticated, sensual, yet casual dining and/or coffeehouse experience for the many Atlantans and visitors who frequent the city’s casual dining spots and entertainment venues. It will be an affordable venture for patrons, one that will encourage them to return on many occasions. The menu will feature hearty fare of the type that is frequently out of the reach of the typical young professional. out of reach because time frequently prevents her/him from cooking hearty meals like those featured on our menu.

    Finally, and quite significantly, The Watertower will provide a much needed neighborhood-based retail food operation that is currently unavailable to the southern end of Atlanta’s Old Fourth Ward neighborhood. Not only is it projected that the business will generate 21 new jobs, the partnership responsible for creating The Watertower will generate additional revenue specifically dedicated to assisting the Historic District Development Corporation in its efforts to bring affordable housing, new jobs, and commercial activity to the Old Fourth Ward.

    The keys to success in this business are:

  • Product quality: Food, coffee-based beverages, and entertainment are our products. They must be of the high quality and value.

  • Service: Our patrons are paying to have a good time. Their experience will suffer if service is not of the highest caliber. Each member of the staff will be courteous, efficient, and attentive.

    Company Summary

    Auto Paradise is a dynamic start-up company that will provide exceptional car care services to the members of the San Angelo community. Quality services that exceed expectations will establish Auto Paradise as the premiere car wash service in San Angelo, Texas. It will provide that following products and services to the local community:

    1. Two Laser Automatic “touch-free and spot-free” car wash bays
    2. Four “self-serve” bays
    3. Vacuum and car wash vending services
    4. Reverse osmosis drinking water.

    Auto Paradise will establish its first location one lot from the intersection of Avenue N and Byrant Avenue, which are two of the busiest streets in San Angelo. The lot faces Avenue N and will be accessible from two sides. The ATM and RO dispensers will be accessible from a side road and will not interfere with the car wash traffic.

    The facility will have two automatic car wash bays, four self-serve bays and an equipment room/office in the middle of the bays. It will also have four high powered vacuum islands (eight total vacuums), vending area, and an ATM/RO water area.

    2.1 Company Ownership

    Mr. Lewallen will create Auto Paradise as a Texas C corporation based in Tom Green County. Mr. and Mrs. Lewallen will be the majority owners (80%) with principal investors owning the remaining 20%. As of this writing, it has not yet been chartered and Mr. Lewallen is still considering alternatives.

    2.2 Start-up Summary

    Total projected start-up expenses (including construction, equipment, land, landscaping and related start-up expenses) come to $934,100. The start-up costs are to be financed by direct owner investment and long term financing.

    A. Investment Options. Auto Paradise will open approximately 90 days after securing financing. Mr. Lewallen is offering several ways to invest in Auto Paradise:

    1. Company stock: Mr. Lewallen is offering 20% of company stock to investors. Auto Paradise is offering 1% of company stock for $7,500. Capital will help establish the first Auto Paradise location and provide “head start” on the second location. Auto Paradise plans to distribute $2,500 per 1% share each of the first three years.
    2. Secured Investment: Mr. Lewallen is offering a guaranteed 10% return for a three year investment. Mr. Lewallen is willing to secure these investments with personal assets/investments.

    B. Financing. The SBA loan that Mr. Lewallen will secure from the SBA is structured to ensure Auto Paradise’s success during the early months of operation. The $740,400 loan includes two elements designed to help build operating capital. First, the loan includes a 10% ($69,000) construction contingency that will convert to operating capital if the construction costs are consistent with the estimate. It also includes 9 months of interim interest which will defer the long-term mortgage payment for 9 months (6 months of operation).

    C. Land. Auto Paradise is in the process of securing a lot near (one lot from corner) the intersection of Bryant Ave. and Avenue N, which are two of the busiest streets in San Angelo. The lot will be 165′ along Avenue N and 175′ deep. The purchase is pending the results of a phase I environmental inspection, which is expected to produce favorable results.

    D. Construction. Getting a firm construction bid is the next step in the process after securing the initial investors. The architect plans and an actual bid will be the last elements necessary to secure bank financing. The estimates included are from previous projects and are considered generous (on the high-side). The estimated $390,000 includes total construction costs for two automatic and four self-serve bays, parking lot, signage, landscaping and architect fees.

    E. Construction Contingency. The 10% construction contingency will cover any unexpected expenses or shortfalls. This may be re-negotiated as a “line of credit” in order to reduce the amount of the loan.

    F. Equipment. Washing Equipment of Texas (WET) has provided a detailed estimate for the purchase and installation of the equipment for two automatic bays, four self-serve bays, four vacuum islands (eight vacuums) and a reverse osmosis water dispenser. WET, which is located in San Angelo, will also provide all maintenance and repair services.

This is comparable to the business continuity process found in larger organizations except for the fact that for SMBs, the business continuity planning process can be simplified, depending on the size and complexity of the organization.

    For many SMBs, the above business continuity planning activities pose a formidable challenge, especially from the perspectives of time, money and resources. To make the process easier, SMBs have several options, such as business continuity planning tools and software, business continuity templates. checklists or consultants. Each of these options can create a plan and its associated elements, however, because of their simplicity, SMBs often use them to get something done quickly. And regrettably, after a plan has been developed, that’s the end of the process. Few SMBs invest in exercises to make sure their plans will work.

    • Standards can provide a useful starting point. Almost two dozen business continuity standards are available worldwide. In the U.S. several options are currently in use: NFPA 1600 (the current U.S. national standard), BSI BS 25999 (the British standard) and FFIEC Business Continuity Handbook (used by the banking and finance sectors).
    • Limit content to actual disaster response actions.
    • Make it happen. Once the plan is complete, exercise it semiannually it to ensure that the documented procedures make sense in the sequence indicated.
    • Be flexible. A single template may not be universally applicable to all departments and/or locations in your organization.

    Next, we’ll examine the structure and content of the template, indicating key issues to address and activities to perform.

    1. Initial data: If you have identified various people to contact in an incident, locate their contact information at the front of the plan (emergency notification contacts), so you won’t have to waste valuable seconds paging through a lengthy document.

    10. Decide on course of action: This section addresses actions to take when it becomes obvious that management needs to declare a disaster. A damage assessment can be initiated either before or after the declaration; it is up to company leadership.
    11. Business recovery phase: This section provides instructions on recovering operations, relocating to an alternate site and related activities.
    12. Appendixes: Detailed appendixes are provided at the end of the template; these include lists and contact details on all emergency teams, primary and alternate vendors, alternate work space locations, and other relevant information. It is very important to keep this information up to date.

    The outlook for the future of Long Branch is promising. Developers are recreating a $150 million first-class resort project. The old pier will be rebuilt with ferry service to Manhattan, New York City, beach cabanas, boardwalk and a bike path over a total of 25 acres. There will be 100,000 sq. ft. of commercial space, and over 700 residential units with condo and townhouses ranging from $200,000-$500,000; rentals from $1000-$2,500 a month, and a two-tier garage. The combination of these elements will provide the city with a year-round economy.

    The area is in need of a warm and friendly place with excellent food. A place where you always know you will get the best of everything. Gabri’s Lounge Restaurant will feature a cozy dining room and an elegant lounge. Comfortable furnishings and decor with soothing warm tones. The lounge has comfy couches and antique love seats with a softly lit bar. It will be the perfect place to stop in for a bite to eat, for a drink or for a small business meeting. For extra comfort and to please a large group of people we will make up special hors d’ oeuvre platters for customers.

    The menu will be inspired from different countries’ specialties and appeal to a diverse clientele. You can get Swedish specialties like herring, gravlax and meatballs, or you can go a little bit more International and choose a red curry chicken with basmati rice, or an Asian grilled shrimp with spinach, tofu and black bean sauce. We will also have a special pasta dish entree every day plus the ‘all American meal’ such as barbecue beef ribs and baked beans. Adding value will be an interesting business lunch menu with specialties every day. The menu will change every 3-4 months but keep the favorites. Prices will be competitive with other upscale restaurants in the area. However, it is the strategy of Gabri’s Lounge Restaurant to give a perception of higher value than its competitors, through its food, service and entertainment.

    The lounge and restaurant will be open seven days a week. We will offer special theme nights to attract new customers to Gabri’s. The restaurant will be fine dining in a cozy atmosphere. We will have a large International menu for customers to select from, and we will offer full catering service providing everything from table settings to the dessert. We anticipate our total sales allocation to be 85% restaurant sales and 15% catering sales. The combined cost of sales will be 33% producing a gross profit of 67% on total sales.

    Most important to us is our financial success and we believe this will be achieved by offering high-quality service and excellent food with an interesting twist. We have created financial projections based on our experience and knowledge of the area. With a start-up expenditure of $385,000 we can generate $1,085,465 in sales by the end of year two, and produce good net profits by the end of year three.

    We are seeking an SBA 7(A) loan guaranty for $200,000 with a 7% interest rate. We are investing $60,000 of our own capital and seeking to raise an additional $125,000 from investors. Our preferred instrument will be five year subordinated notes with an attractive coupon rate of 12% for the first two years and 15% for the remaining three years. At the end of five years the investors’ notes will have matured and original principal plus a 2% premium and the final interest payment will be made. Our investor philosophy is conservative. Since restaurant start-ups are so speculative our belief and commitment to our investors will be to pay a generous, predictable rate of return while not strangling our operational cash flow. As our business becomes more established and reliable, our ability to pay an improved return of capital will be evidenced by an increased coupon rate of 15% of original principal. At maturity we feel it proper to retire the notes with a 2% premium to original principal invested.

    Synovial Fluid Analysis

    Synovial fluid analysis is a group of tests that examine joint (synovial) fluid. The tests help diagnose and treat joint-related problems.

    How the test is performed

    A sample of synovial fluid is needed for this test. Synovial fluid is normally a thick, straw-colored liquid found in small amounts in joints, bursae, and tendon sheaths.

    After the area is cleaned, the health care provider will insert a sterile needle through the skin and into the joint space. Once in the joint, fluid is drawn through the needle into a sterile syringe.

    The fluid sample is sent to the laboratory. The laboratory technician will check the sample’s color and clarity, and then place it under a microscope to check it for red and white blood cells, crystals (in the case of gout), and bacteria. In addition, there may be a chemical analysis, and if infection is a concern, a sample will be cultured to see if any bacteria grow.

    How to prepare for the test

    Normally, no special preparation is necessary, but contact your health care provider before the test to make sure. Tell your doctor if you are taking blood thinners, as they can affect test results.

    How the test will feel

    Occasionally, the health care provider will first inject local anesthesia with a small needle, which will sting. The aspiration is done with a larger needle and may also cause some pain. The procedure usually lasts less than one minute.

    Why the test is performed

    The test can help diagnose the cause of pain or swelling in joints. Removing the fluid can also help relieve joint pain.

    This test may be used to diagnose:

    • Gout
    • Infection
    • Other inflammatory joint conditions
    • Joint injury
    • Osteoarthritis

    What abnormal results mean

    Abnormal joint fluid may look cloudy or abnormally thick.

    Blood in the joint fluid may be a sign of injury inside the joint or a body-wide bleeding problem. An excess amount of normal synovial fluid can also be a sign of osteoarthritis.

    What the risks are

    • Infection of the joint — unusual but more common with repeated aspirations
    • Bleeding into the joint space

    Special considerations

    Ice or cold packs may be applied to the joint for 24 to 36 hours after the test to reduce the swelling and joint pain. Depending on the exact problem, you can probably resume your normal activities after the procedure. Talk to your health care provider to determine what activity is most appropriate for you.
