RFQ Template:

Using a RFQ template, RFI template, or RFP examples can help you in writing a business proposal efficiently, and effectively. Templates or examples minimize your effort and provide you with a strong base; use an example for writing a proposal to win bids. Review the RFQ, RFI and/or RFPs that you’ve completed and pick the best elements of each to create a template. Or, if you haven’t put together a request for proposal or quote before, see if you can access an example of a winning proposal from the client’s last-time purchase.

Business proposal template

When writing a proposal to win a bid, use a RFQ template or RFP examples.

Design your own RFQ, RFP template or RFI template that captures at least 60 percent of the mandatory information (which is usually the same for all proposals or quotes; such as staff, qualifications, references and more) that is required.

Your template will form the base of all proposals you write and submit.

To create the RFQ template (or a template for any type of proposal or request), use content from your own samples or examples of writing a proposal.

What are the common elements? Review past bids (both successful and unsuccessful) and look for commonalities.

RFQs, RFPs, RFIs, RFEIs, and more.

RFI: Request for information. Often used as a pre-qualification: do your capabilities match the needs of the organization? Are there enough suppliers in the market? Often a short form.

RFQ: Request for quote. Usually follows the RFI: asks for pricing and delivery information.

RFP: Request for proposal. Often a longer, more comprehensive document. Requires information on your business; your staff and management; your capabilities; references; administration detail (such as insurance, Human Resources and environmental policies, and more); pricing; quality; delivery and more.

RFEI: Request for expression of interest. Often issued by the potential buyer when they believe there are a large number of suppliers in the market; this is one way of assessing level of interest in the market place.

RFQL: Request for qualifications. Buyers want to know who is available in the market to meet their needs; and how qualified are they to deliver.

RFQ Template – Common Elements

A cover letter that connects what you have to offer, and the solution you provide, to the request.

Proposal specifications: this will change for every quote or proposal request but see if there is any commonality in your responses (for example, if your business is writing marketing plans then you know what you need to cover in most plans; your template could include an outline of what you normally write).

Staff and/or subcontractors: often these are the same; build a list for the template and then copy and paste the individuals you’ll use on the specific job.

References: jobs you’ve done before, and satisfied clients. Get letters from your clients once you’ve finished the project. If necessary, supply them with a ‘form’ letter that they can edit.

Your solution: include a sample in your RFP examples or template to help you model when you have to write one that is specific to the proposal you are working on.

Your price: if appropriate, develop a price list. This only works if you’re selling a lot of the same thing. For example, if you’re selling the writing of a marketing plan you can put together a price list for a 50 page plan, 80 page plan; 150 page plan, or whatever fits the most common scenario. The assumption is that the more pages, the more research and writing. Price accordingly.

The purpose of building your RFP template is to be able to produce a bid quickly and painlessly. Responding to, and writing, a business proposal takes time and effort and resources; simplify the process and produce a better proposal.

Both types of disaster need to be considered when creating a DR Plan. It is our honor to submit this proposal in response to Chelsea Chapter s request.

SCOPE

Based on initial discussions with Chelsea Chapter, our understandings of the items to be included in the web site are listed below. Chelsea Chapter will provide all the text for all of the pages for the site in electronic format (e.g. MS-Word or WordPerfect files). The site s main objective would be to provide information on Chelsea Chapter and update visitors with happenings in the association. Web site sections (all text/content to be provided by Chelsea Chapter in electronic format).

  • About the Chapter: This section will include information on the mission statements, purpose (objective) and history of the Chelsea Chapter. It would also have general information about Chelsea Chapter.
  • People: This section will provide information about the people behind the working of the Chelsea Chapter i.e. Officers, Executive committee, the various committees, Committee members, Board Meeting Dates etc.
  • Chapter Life and News: This section is expected to carry a brief synopsis of the happenings and the news. It would include a list of the past events i.e. this list would include information about the news roundup, latest happenings, synopsis views of distinguished speakers etc. This section would also allow visitors to submit the order form for purchase of audiocassettes of the speeches/comments of speakers. This section would require content management i.e. the content would change at frequent intervals. So an Administration section would be needed.
  • Upcoming Events: This section would include information about the future/upcoming events and programs of the Chapter. It would also include all the events and programs related to the association and held in the Chelsea region. This section requires frequent updating/modifications (refer Administration section)
  • Members Section: This section would be a dedicated section forthe members of the Chelsea Chapter. It would require every member to enter his or her user id and password in order to have access to this section. This section would have a snapshot of the Chelsea membership Directory and could carry special articles or issues.
  • Links: This section would include links to the National Association home page and other related web pages.
  • Industry issues: This section would cover important or relevant issues/ problems faced by the industry today. It would also carry a monthly issue with a list of Uli publications that would cover industry issues.
  • Email alerts and list: While unsolicited emails are taboo on the Internet, sending email to those who want is permitted. This means that Chelsea Chapter can send email alerts to all the members (and others who enroll themselves for this service) informing them whenever some new information is posted on the site. This will cut down costs and help in the timely broadcasts of information to those who request it. The list would be updated automatically as soon as a visitor enrolls to receive the email. Also to send a mail to everyone on the mailing list, all the administrator has to do is to send an email to one email address and the email would be delivered to everyone immediately.
  • Administration section: To do the updates quickly and efficiently, we will design an administrative section so that Chelsea Chapter staff can make the updates/modifications. This will not require anyone to learn HTML. This administrative section would be a password protected section so that only authorized staff can make updates. The sections that would be covered by this functionality are Chapter Life and News, Upcoming events and weekly/monthly articles/updates.

    Using a RFQ template, RFI template, or RFP examples can help you in writing a business proposal efficiently, and effectively. Templates or examples minimize your effort and provide you with a strong base; use an example for writing a proposal to win bids. Review the RFQ, RFI and/or RFPs that you’ve completed and pick the best elements of each to create a template. Or, if you haven’t put together a request for proposal or quote before, see if you can access an example of a winning proposal from the client’s last-time purchase.

    When writing a proposal to win a bid, use a RFQ template or RFP examples.

    Design your own RFQ, RFP template or RFI template that captures at least 60 percent of the mandatory information (which is usually the same for all proposals or quotes; such as staff, qualifications, references and more) that is required.

    Your template will form the base of all proposals you write and submit.

    To create the RFQ template (or a template for any type of proposal or request), use content from your own samples or examples of writing a proposal.

    What are the common elements? Review past bids (both successful and unsuccessful) and look for commonalities.

    RFQs, RFPs, RFIs, RFEIs, and more.

    RFI: Request for information. Often used as a pre-qualification: do your capabilities match the needs of the organization? Are there enough suppliers in the market? Often a short form.

    RFQ: Request for quote. Usually follows the RFI: asks for pricing and delivery information.

    RFP: Request for proposal. Often a longer, more comprehensive document. Requires information on your business; your staff and management; your capabilities; references; administration detail (such as insurance, Human Resources and environmental policies, and more); pricing; quality; delivery and more.

    RFEI: Request for expression of interest. Often issued by the potential buyer when they believe there are a large number of suppliers in the market; this is one way of assessing level of interest in the market place.

    RFQL: Request for qualifications. Buyers want to know who is available in the market to meet their needs; and how qualified are they to deliver.

    RFQ Template – Common Elements

    A cover letter that connects what you have to offer, and the solution you provide, to the request.

    Proposal specifications: this will change for every quote or proposal request but see if there is any commonality in your responses (for example, if your business is writing marketing plans then you know what you need to cover in most plans; your template could include an outline of what you normally write).

    Staff and/or subcontractors: often these are the same; build a list for the template and then copy and paste the individuals you’ll use on the specific job.

    References: jobs you’ve done before, and satisfied clients. Get letters from your clients once you’ve finished the project. If necessary, supply them with a ‘form’ letter that they can edit.

    Your solution: include a sample in your RFP examples or template to help you model when you have to write one that is specific to the proposal you are working on.

    Your price: if appropriate, develop a price list. This only works if you’re selling a lot of the same thing. For example, if you’re selling the writing of a marketing plan you can put together a price list for a 50 page plan, 80 page plan; 150 page plan, or whatever fits the most common scenario. The assumption is that the more pages, the more research and writing. Price accordingly.

    The purpose of building your RFP template is to be able to produce a bid quickly and painlessly. Responding to, and writing, a business proposal takes time and effort and resources; simplify the process and produce a better proposal.

    • Section 3 addresses actions to take when it becomes obvious that management needs to declare a disaster. A damage assessment can be initiated either before or after the declaration; it is up to company management.
    • Section 4 provides detailed instructions on recovering operations, relocating to an alternate site and related activities.
    • Detailed appendices are provided in Section 5; these include lists and contact details on all emergency teams, primary and alternate vendors, alternate work space locations. and other relevant information. It is very important to keep this information up to date.
    • Additional forms can be found in Appendix 5.7; these should be developed in advance, validated by exercising (as is the entire plan) and kept in a ready-to-use format.

    GENERAL BUSINESS CONTINUITY PLANNING TIPS

    Here’s a checklist of things to keep in mind during business continuity planning:

    • Take the process seriously. If you want to protect your business from unplanned events that could disrupt operations, create a plan. It doesn’t have to be hundreds of pages long. It just needs the right information, and that information should be current and accurate.
    • Use disaster recovery/business continuity standards as a starting point. Almost two dozen business continuity standards are available worldwide. In the U.S. several options are currently in use:
      1. NFPA 1600 (the current U.S. national standard)
      2. BSI BS 25999 (the British standard)
      3. FFIEC Business Continuity Handbook (used by the banking and finance sectors)
      4. DRII/DRJ Generally Accepted Principles (GAP)
    • Keep it simple. Less can definitely be more in this situation, unless the user is primarily a technology-based group, such as IT.
    • Limit content to actual disaster response actions. Assuming you are creating a plan to respond to specific incidents, include only the information needed for the response and subsequent recovery.
    • Make it happen. Once the business continuity plan is complete, exercise it to ensure that the documented procedures make sense in the sequence indicated.
    • Be flexible. A single template may not be universally applicable to all department and/or locations in your organization; consider other templates, software or consultants.

    The keys to a creating a successful business continuity plan are to define step-by-step procedures for response and recovery, validate these activities through periodic exercising, and maintain the plan and its various components up to date.

    For small- to medium-sized businesses (SMBs), the business continuity planning process contains several steps. These include: project initiation, risk assessment, business impact assessment, strategy development, business continuity plan development, business continuity plan testing and maintenance, emergency communications, awareness and training, and coordination with public authorities. This is comparable to the business continuity process found in larger organizations except for the fact that for SMBs, the business continuity planning process can be simplified, depending on the size and complexity of the organization.

    For many SMBs, the above business continuity planning activities pose a formidable challenge, especially from the perspectives of time, money and resources. To make the process easier, SMBs have several options, such as business continuity planning tools and software, business continuity templates. checklists or consultants. Each of these options can create a plan and its associated elements, however, because of their simplicity, SMBs often use them to get something done quickly. And regrettably, after a plan has been developed, that’s the end of the process. Few SMBs invest in exercises to make sure their plans will work.

    In this business continuity planning guide, we’ll try and simplify this process for SMBs. We’ll start off with a more or less standard sample business continuity plan template. Read this guide, and then download our free sample business continuity plan template for smaller businesses and you’ll be well on your way to developing a successful business continuity plan.

    To have develop a successful business continuity plan, we recommend the following steps:

    • Make sure you have the right information. Your business continuity plan doesn’t have to be hundreds of pages long. It just needs the right information, and that information should be current and accurate. A one-page plan with the right information can be more valuable than a voluminous document that nobody can use.
    • Go to www.ready.gov (part of the Federal emergency Management Agency site) and look at the emergency plan development information available at that site. The information at ready.gov can serve as an effective complement to the template we provide in this report.
    • Standards can provide a useful starting point. Almost two dozen business continuity standards are available worldwide. In the U.S. several options are currently in use: NFPA 1600 (the current U.S. national standard), BSI BS 25999 (the British standard) and FFIEC Business Continuity Handbook (used by the banking and finance sectors).
    • Limit content to actual disaster response actions.
    • Make it happen. Once the plan is complete, exercise it semiannually it to ensure that the documented procedures make sense in the sequence indicated.

    For small- to medium-sized businesses (SMBs), the business continuity planning process contains several steps. These include: project initiation, risk assessment, business impact assessment, strategy development, business continuity plan development, business continuity plan testing and maintenance, emergency communications, awareness and training, and coordination with public authorities. This is comparable to the business continuity process found in larger organizations except for the fact that for SMBs, the business continuity planning process can be simplified, depending on the size and complexity of the organization.

    For many SMBs, the above business continuity planning activities pose a formidable challenge, especially from the perspectives of time, money and resources. To make the process easier, SMBs have several options, such as business continuity planning tools and software, business continuity templates. checklists or consultants. Each of these options can create a plan and its associated elements, however, because of their simplicity, SMBs often use them to get something done quickly. And regrettably, after a plan has been developed, that’s the end of the process. Few SMBs invest in exercises to make sure their plans will work.

    In this business continuity planning guide, we’ll try and simplify this process for SMBs. We’ll start off with a more or less standard sample business continuity plan template. Read this guide, and then download our free sample business continuity plan template for smaller businesses and you’ll be well on your way to developing a successful business continuity plan.

    FREE DOWNLOAD: BUSINESS CONTINUITY TEMPLATE

    To have develop a successful business continuity plan, we recommend the following steps:

    • Make sure you have the right information. Your business continuity plan doesn’t have to be hundreds of pages long. It just needs the right information, and that information should be current and accurate. A one-page plan with the right information can be more valuable than a voluminous document that nobody can use.
    • Go to www.ready.gov (part of the Federal emergency Management Agency site) and look at the emergency plan development information available at that site. The information at ready.gov can serve as an effective complement to the template we provide in this report.
    • Standards can provide a useful starting point. Almost two dozen business continuity standards are available worldwide. In the U.S. several options are currently in use: NFPA 1600 (the current U.S. national standard), BSI BS 25999 (the British standard) and FFIEC Business Continuity Handbook (used by the banking and finance sectors).
    • Limit content to actual disaster response actions.
    • Make it happen. Once the plan is complete, exercise it semiannually it to ensure that the documented procedures make sense in the sequence indicated.
    • Be flexible. A single template may not be universally applicable to all departments and/or locations in your organization.

    Next, we’ll examine the structure and content of the template, indicating key issues to address and activities to perform.

    1. Initial data: If you have identified various people to contact in an incident, locate their contact information at the front of the plan (emergency notification contacts), so you won’t have to waste valuable seconds paging through a lengthy document.
    2. Revision control page: This page is located on the second page of the plan and it reflects your change management process.
    3. Purpose and scope: Provide details on these attributes, as well as assumptions, team descriptions, a list of terms, and other background information.
    4. Instructions for using the plan: Provide information about when and how the plan will be activated, including outage timeframes, who declares a disaster, and who should be contacted.
    5. Policy information: This is a good place to use standards documents as references.
    6. Emergency response and management: Specify situations in which the plan and response procedures are to be activated.
    7. Plan review and maintenance: Describe how often the plan is to be reviewed and updated, and by whom.
    8. Checklists and flow diagrams: Assuming a situation has occurred, have steps identified to address it; these can be in the form of checklists (useful to keep track of scheduled and completed tasks) and flow diagrams that provide a high-level view of response and recovery.
    9. Notification of incident affecting the site: Information needs to be gathered before officially declaring a disaster; this includes damage assessment data and first-hand reports from staff and first responders; convene meetings as soon as possible with key emergency team members to evaluate the facts before proceeding to a declaration.
    10. Decide on course of action: This section addresses actions to take when it becomes obvious that management needs to declare a disaster. A damage assessment can be initiated either before or after the declaration; it is up to company leadership.
    11. Business recovery phase: This section provides instructions on recovering operations, relocating to an alternate site and related activities.
    12. Appendixes: Detailed appendixes are provided at the end of the template; these include lists and contact details on all emergency teams, primary and alternate vendors, alternate work space locations, and other relevant information. It is very important to keep this information up to date.

    The process of developing a business continuity plan for SMBs is generally a straightforward process. The keys to success include defining step-by-step response and recovery procedures, validating these activities through tests, and keeping the plan up to date.

    Finally, merging data from Excel spreadsheets into your Word document is harder than it looks. It’s not easy to keep everything completely up-to-date as you make changes to your numbers. And integrating the right charts and graphs into your business plan template is not as easy as it seems.

    However, if you’re new to business planning and just want to get a sense of what a plan looks like and want to get the process started quickly (and cheaply!) then downloading a free template is a great way to get started.

    A great business plan template will also provide instructions for each step of your plan and show you what an investor-ready and SBA-approved business plan should look like.

    The cons of business plan templates

    While there are benefits to using a business plan template, depending on your situation it may not be the absolute best way to complete your plan. There is still going to be a lot of work involved—for instance, not only do you have to complete the financial spreadsheets, but you have to do all the math yourself.

    You’ll also have to know enough about the process to be sure you’re getting all the numbers in the right places. And, typically there are limited instructions to go along with a free template, so if you don’t already know what you’re doing, the process of writing your business plan isn’t going to be that much easier with a template.

    Finally, merging data from Excel spreadsheets into your Word document is harder than it looks. It’s not easy to keep everything completely up-to-date as you make changes to your numbers. And integrating the right charts and graphs into your business plan template is not as easy as it seems.

    However, if you’re new to business planning and just want to get a sense of what a plan looks like and want to get the process started quickly (and cheaply!) then downloading a free template is a great way to get started.
